What counts as a facility?
A facility is a single residential aged care home (a care delivery location with its own service address). If you operate multiple homes, each is licensed separately — and we offer volume pricing for groups. Home care providers on the Enterprise plan are priced per region instead.
How is a "region" defined for home care providers?
A region is the geographic service area your home care operation covers — typically aligned to how you already structure your service regions. We'll agree the definition with you before you sign anything.
Can we start on Light and upgrade later?
Yes — that's exactly how it's designed. Your evidence, integrations, ownership matrix and renewal history all carry over. Enterprise modules switch on at your next login; there's nothing to reinstall or migrate.
How long does it take to get started?
Most providers are working in Willow within days. The AECT and CDECT come pre-loaded with the regulator's full content — your team starts attaching evidence on day one, and integrations can be connected in your first week.
Do more users cost more?
No. Every plan includes unlimited users, and external contributors — consultants, subcontracted services, auditors — access Willow through secure time-limited links at no cost.
Where is our data hosted, and how is it secured?
Your data is hosted in Australia. Every record is isolated to your organisation with row-level security, access is role-based, multi-factor authentication can be enforced organisation-wide, and every change is captured in a full audit trail.
Can our auditor or the Commission see our evidence?
You stay in control. Willow compiles a submission-ready audit pack for your renewal, and on Enterprise you can also give assessors secure, read-only portal access that you can revoke at any time.
How is Willow different from a readiness scorecard or self-assessment tool?
Scorecards grade the answers your team types into a questionnaire, then generate reports from those self-reported scores. Willow works the other way around: it's built on the Commission's actual renewal instruments — the AECT and the CDECT — and every answer is backed by real evidence imported from the systems you already run. The output isn't a score and a PDF of recommendations; it's your completed, submission-ready renewal pack.
